Questions About Outlook Integration and Momentus Enterprise
AnsweredThank to Victor Nogales Junior for providing me answers to these customer questions.
1. What happens when you copy an event in Outlook? Will it will create a new event in Momentus occurence?
When you copy an event in Outlook that is mapped to a Momentus space, it will create a new event occurrence in Momentus. The Outlook Calendar Integration treats copied events as new events and will sync them to Momentus accordingly, creating a new booking with the default settings configured in the integration.
Be aware that copying events in Outlook will result in new, separate bookings in Momentus - these will not be linked as part of a series or maintain any relationship to the original event in Momentus.
2. What happens when you create a recurring event in Outlook? Will create new events in Momentus Enterprise for EACH occurrence?
When you create a recurring event in Outlook for a space that is mapped to Momentus, each instance of the recurring event will be synced to Momentus as individual events. The integration does support syncing recurring series events from Outlook to Momentus, but they will appear as separate, individual bookings in Momentus rather than maintaining the recurring series relationship.
Be aware that any changes to the entire series in Outlook will need to be made individually to each occurrence in Momentus.
What happens if you change an event in Outlook? Will the integration delete the original event in Momentus and add a new event in Momentus?
- When you update details other than location/room:
Outlook simply updates the existing event, and our integration updates the corresponding event in Momentus. No deletion or recreation happens. - When you change the location or room:
Because the event is tied to the room resource, changing the room is treated as a cancellation of the original event. The integration will cancel the existing event in Momentus and then create a new one for the updated room.
4. What happens when a booking with multiple dates or times is done in Momentus Enterprise?
When a booking with multiple dates or times is created in Momentus Enterprise, each date/time occurrence will be synced to Outlook as separate, individual events. There is a one-to-one relationship between Momentus bookings and Outlook events, so a single event in Momentus with multiple dates/times will appear as multiple separate events in Outlook.
This could result in multiple calendar entries for what is conceptually a single event in Momentus.
5. What happens If an event is changed in Momentus Enterprise? Will the booking be deleted and then a new event in Outlook be created?
When an event is changed in Momentus Enterprise, the integration updates the corresponding event in Outlook directly - it does not delete and recreate the event. Unlike changes made in Outlook (which use a cancel-and-replace method), changes made in Momentus Enterprise are synchronized as true updates to the existing Outlook event.
When changes need to be made to events that are synced between Momentus Enterprise and Outlook, it's generally more efficient to make these changes in Momentus rather than in Outlook, as changes made in Momentus will update the existing event in Outlook rather than creating a new one.
6. What happens when you duplicate a meeting in Enterprise? Will events be created and added to the persons Outlook calendar?
When you duplicate a meeting in Momentus Enterprise, a new, separate event will be created in the corresponding Outlook calendar(s) for the person(s) whose calendars are configured to receive synced events. The integration treats the duplicated meeting as a completely new event, which will appear as a separate calendar entry in Outlook.
7. Can Ad-hoc meetings be added to an existing recurring appointment ?
Ad-hoc meetings cannot be added to an existing recurring appointment in the Momentus Outlook Integration. The integration treats each event as a distinct entity with a one-to-one relationship between Momentus events and Outlook calendar entries. There is no mechanism to insert or attach an ad-hoc meeting to an existing recurring series while maintaining the series relationship.

Added Question
What happens if multiple spaces are booked in Momentus, will it create separate events in Outlook, one for each space? Maybe a similar answer as 4 above?
