Does Outlook Integration in Elite support integration to Zoom?
AnsweredHi All, I have a question from a venue who is using Zoom and the Elite platform:
“On the other side of the building where all of the offices are located, we have a few meeting rooms available. They are booked in Outlook, which integrates with Zoom Rooms. So when someone adds zoom to a meeting invite and reserves a small conference room, it is already pre-set in the room when you walk in and just have to hit start to start the meeting. We didn't know if there was a similar integration in Momentus to connect through Zoom Rooms.”
It's similar to this thread but not exactly the same use case-https://documentus.zendesk.com/hc/en-us/community/posts/31309037025175-Is-it-possible-to-book-from-teams-and-not-from-OUtlook-with-the-Outlook-integration
I checked these resources but couldn't find anything specifically about Zoom unless I missed it.
Thanks

@... @... @... Elizabeth Fox I am not sure who to tag but wanted to follow up on this thread. Thanks!

Hey Amber Lough! I'm pretty sure this isn't part of the integration and cannot find anything specific about it in the documentation. I am checking with Victor Nogales Junior and Charlie too though.

ANSWER
The Momentus Outlook Calendar integration does support Zoom meeting links, but indirectly. When a customer creates a meeting in Outlook with Zoom as the location (where the Zoom link is inserted into the invitation), this information is captured through the Microsoft Graph API and synchronized to Momentus Elite. The integration primarily handles the location field and online meeting information, allowing Zoom meeting URLs to be presented as the room in Elite.
RECOMMENDATIONS
- When supporting customers asking about Zoom integration, explain that the Momentus Outlook Calendar integration handles meeting location information, including Zoom links.
- Customers should continue using their existing Zoom integration with Outlook as normal. When they book meetings in Outlook with the location being a Zoom link, the Momentus integration will capture this information and represent it appropriately in Elite.
-
For implementation details, recommend that customers test this functionality during setup to ensure Zoom links are correctly synchronized between systems. The Momentus Outlook Calendar integration doesn't modify the Zoom links but preserves them when synchronizing events.

Hi Elizabeth Fox , Amber Lough , please hold my previous answer. It may not be accurate. I'm investigating it.

Hello Amber Lough, this is the revised and correct answer. Apologies for any inconvenience this may have caused.
ANSWER
The Momentus Elite Outlook Calendar integration doesn't directly support Zoom links as room locations. While the integration can capture online meeting information from Outlook (including Zoom links), this information doesn't replace the need for an actual physical room/space in Elite. The integration is specifically designed for physical space bookings and requires mapping to existing rooms in Elite.
RECOMMENDATIONS- Advise customers that the Outlook Calendar integration is designed specifically for physical space bookings, and requires mapping between Outlook resource calendars and existing Elite rooms.
- If customers want to include Zoom information with their meetings, they should:
- Book an actual physical room/space through the integration
- Add the Zoom meeting information in the Outlook invitation
- Be aware that this Zoom information won't be visible within Elite since the notes sync feature isn't available for Elite.
- Advise customers that the Outlook Calendar integration is designed specifically for physical space bookings, and requires mapping between Outlook resource calendars and existing Elite rooms.
