Correct Exchange Room Resource Set Up for Outlook Integration - Momentus Managed Space
AnsweredQuestion regarding correct setup of room resources in Exchange for Momentus Managed, Auto Accept Off.
Customer wants people to book events in Outlook, which need to be approved in Momentus.
Currently all Spaces are set to Momentus Managed, with Auto accept off.
Customer is complaining that the customer receives the confirmation immediately from Outlook to say the meeting is confirmed – defeating the purpose of having it managed in Momentus.
So does the customer need to turn the setting on to have delegate approval on the Exchange Resource?
And thus for a room which has delegate approval in Exchange, that is mapped to a Space which is Momentus managed with auto approve off does the following;
- Creates a tentative booking in the Exchange room
- Creates a tentative event/booking in Momentus
- Somebody approves the event/booking in Momentus by moving the event/booking to “definitive” or similar
- This triggers the delegate approval on the Exchange room resource, making the Outlook event ‘confirmed’.
Thus – delegate approval must be turned on for spaces which and Momentus Managed with Auto Accept turned off.
If the answer to above is yes - I think we could enhance the KB with info for an Exchange Admin potentially with links to MS KB article, as firstly there is no guide on how to configure the Exchange side (that I can see) - and secondly many of our customers do not have sophisticated IT departments.

Yes, this is the exact flow that should be followed. I've shared a sheet with all the use cases. I'm not sure if these are already documented in our knowledge base.
