OSB - My Events and Availability Calendar

Hi Product,

I'm trying out this new process in Documentus with one foot in Education and other still in Consulting. Please let me know if I have chosen the wrong topic.

BIS are currently implementing OSB and during testing they have found the following challenges:

1. Editing events in My Events

When managing events in My Events on OSB portal A, we have noticed that we can also see events we have been created in other OSB portals. When we click to edit these Events which were not created in OSB portal A, we get a hard stop warning saying it it is not possible to edit the event, please contact system admin.

Is there a way to configure one of the following solutions?

a) Only see events in the My Events page of each OSB portal that have been created in that portal 

b) See all OSB created events which have been created by the logged in user in all the OSB portal with My Events activated and be able to Edit all of them

c) Have a dedicated URL for My Events which is not connected to an OSB portal, but can be added as a gadget on the Account Portal home page, where all OSB created events that belong to the logged in user can be edited.

2. Show Space on Availability Calendar but make it not bookable

BIS would like to show some spaces on the availability calendar in OSB, but not let them be booked through OSB. I tried using a Booking Restriction for Online only but the restriction just greys out the space as booked, rather than showing the actual bookings from the calendar. Can you suggest how we could get this working, or any other ways we can provide an availability calendar outside of OSB? The client suggested iEBMS Calendar of Events but I steered them away from this and said I would check with Product.

3. Time format on the Availability Calendar

Currently the OSB availability calendar shows the times in AM/PM. Can we set this to 24hour time to align with their other formatting?

  Hey Chelsea,

  1. Editing events in My Events
     1. Only see events in current OSB: no, this is not possible at this time. 
     2. See all events and edit all events: No, there is not currently a way to deep link the events to be able to edit them all if they were originally created in the current OSB config. It also could be that the event was created in back-office and not an OSB config so it might conflict with price lists, items, and other settings in the specific OSB config.
     3. Independent My Events Page: This option is under consideration and being researched. 
  2. Show Space Availability but not bookable
     1. At this time, OSB only shows the space configured on the portal. And if they are configured and not booked, then they appear and are available to book. There have been some discussions about improving the availability calendar but nothing on the roadmap yet. Please have customer raise an enhancement request in the community.
  3. Time Format on Availability Calendar
     1. Currently, it's only supporting AM/PM. Another one to raise to the product ideas section of the community.
