Audit log reporting
AnsweredHi Team,
- P&J Live, UK customer - EMEA
- 26.1
- Additional information on Audit reporting regarding Event status changes
- The customer would like an audit log report combining event and audit reporting.
The goal would be to track event status changes, revenue, and the associated salesperson.
Business requirement :report and know more about the revenue involved in status changes, specifically for events confirmed in the last 30 days.
They don't want user to receive notifications for each status change, they would rather have a report or a view that they can export or look at it directly from the system.
=> There is a current solution available only for archived, cancelled events where salesperson and forecast revenue are available on the cancelled events window. However, the customer is interested in all kind of status changes not only cancelled.
- Alternative solutions :
- Would a replicated that database be an option, so they can create and pull the necessary data by finding the event ID from the audit log and pulling additional fields.
- Add custom fields on the audit log window to pull the salesperson, revenue data ?
Could that be achievable by the above suggestions or do we have something existing that can address that requirement?
Many thanks!

Hi Mariam, i would recommend tagging some of your colleagues on documentus posts for best practice questions like this. Many people are not watching posts.

Seth Halvaksz Not sure who would be best to tag here. Any suggestions ?
Tagging Minka Verkaar Maximilian Fankidejski For visibility or suggestions ;)

Minka is a good suggestion, she should be able to help.
Also tagging Martin Stephens

Mariam Abid - When an event first becomes Firm (is moved to a status between 30 - 79), a Firm date is automatically stamped onto the event. You can use this date to group new firm revenue. You can also create very impactful real-time pace reports.
Prerequisite: The client statuses must be configured correctly! When an opportunity becomes firm, the firm status MUST be in the firm status group.
The Firm date can also be overwritten by the client when required - it can be added to the layout.
Use formula fields to create aggregated, for instance FIRM FISCAL YEAR … FIRM FISCAL MONTH … FIRM FISCAL QUARTER. You can then aggregate revenue on these groups.
- Note: It is usually preferred to aggregate on forecast budget if they track this. Otherwise, use Total Space Rental. EM's are not programming event orders far into the future, so Total Ordered Revenue does not provide accurate forecasts OR historical comparrison.
Enterprise do not track every status change date against the event (this would be an Excellent enhancement request), however I typically use the following:
- Created Date: The date the opportunity started.
- Firm: The date we won the opportunity
- Note: Firm - Created = Conversion Days (how many days to win the opportunity)
- Cancelled: the date we lost the opportunity
- If the client uses Event opportunities, we can track the contract start date.
- If the client uses the contracts module, we provide many dates in the contracting process.
- Clients often use UDF's to track other important dates in the sales lifecycle.
Happy to connect are review this with you!

Thanks Martin!

Thank you Mariam Abid and Martin Stephens
I like your ideas: If properly configured
https://supportcenter.ungerboeck.com/hc/en-us/articles/204552078-Configure-Event-Statuses
an onscreen reporting in the Events window, (rather than the audit log) as explained by Martin is a good start. -
Martin Stephens Thank you! I will review it with their configuration and I will reach out ;D
