I couldn't find any information about this in the KB, SharePoint or Confluence - judging by the ‘Ungerboeck’ branding its old, so I am unsure if its still a service Momentus provides.

I did find these tickets, most were from 2022 but the most recent was from 2024 - looks like they were all handled by Tech Services or VSM/CSM:

@...  do you have any input on this?

  • Sven Mannherz

We can review any request via a custom scope, but due to limitations of the API, we need to see if this is possible.

  • Seth Halvaksz

I confirmed that this “Anonymization Add-On” is not part of the product. It is like a tech services offering.

I did get clarification on how Anonymization works in Enterprise. Tagging @... on this because i'm not sure if we have an article on this currently.

I understand the process works like this:

    1) A public user can however put a request for their account to be anonymized from a public site such as OSB

    2) An enterprise user will have to process that request from within the enterprise software

Here is the removal request page in backoffice. The process request action can then initiated from the request.

  • Linda Moyer

Seth Halvaksz Sure thing! Which component is this request is handled through? Is it the Account Management Configuration, the Sign In Configuration, the OSB Config itself?

  • Laura de Jong

Seth Halvaksz  your example for anonymization of Accounts/Contacts is for 1 or a couple of Accounts/Contacts.

What is the best practice / Momentus' advice when a customer has more than 50,000 Accounts/Contacts which need to be anonymized due to GDPR-regulations? (No contact in past X-years but have linked orders or something similar, so those can't be removed from the software).

Am I right in this case to go for a custom scope via Tech Services?

  • Sven Mannherz

Seth Halvaksz - If there is a feature like this in the software, and we do not allow it in mass, should there not be an API giving access to such a feature? With Momentus Connect in mind, a scheduled workflow could facilitate such automation.

My next question would be regarding the removal or anonymization, as the article should explain this very clearly, as these are two distinct requirements under GDPR.

Under the GDPR, removal (or deletion) refers to the complete erasure of personal data, ensuring it no longer exists and cannot be recovered. This is typically done when data is no longer needed for its original purpose or when a data subject exercises their "right to be forgotten." Anonymization, on the other hand, means transforming personal data so that individuals are no longer identifiable, either directly or indirectly, and the data cannot be traced back. Once appropriately anonymized, the data falls outside the scope of GDPR because it's no longer personal data. However, removal eliminates data, while anonymization retains it in a usable (but non-personal) form for analytics or research.

I will schedule a meeting to discuss what we do and do not support.

@... who should i include from tech services on this meeting?

  • Laura de Jong

Seth Halvaksz can you keep me informed what the outcome is of that meeting? For my customer it is pretty urgent since they need to follow the GDPR-regulations with these ‘orphaned accounts’, with this summer (July/August) as deadline.

Providing an update on a discussion we had today with Maximilian Fankidejski @... Misty and Nikhil from Enterprise Engineering.

It sounds like the anonmymization process that's available in Enterprise could work.

It will mostly anonymize data, because you cannot delete records in Enterprise for data architecture reasons.  You can select one or more contacts, or one or more accounts.

However you cannot customize any of the criteria to update in bulk ex. specific countries, or specific time frames (anonymize data for the past 5, 6, 7 years, etc).  Max mentioned customers vary in how far they want to go back.

We did need to make an update so that the “Anonymize Accounts” option will be available in 25.1 and 25.2. Customers will need to upgrade to the next available patch to use this.

We also agreed to set up a training session with EMEA consulting team with Nikhil, to be recorded. And then will work with Linda to document.

  • Linda Moyer

Seth Halvaksz  Can you invite me to the training session? If it's outside my business hours, please invite Monika Dudani .

  • Seth Halvaksz

Maximilian Fankidejski could you please schedule this meeting and include myself, Nikhil Bhardwaj and Linda?  Nikhil to run the training.

  • Laura de Jong

Seth Halvaksz  can you confirm on which patch of 25.1 this “Anonymize Accounts” option is available and how to access?

  • Seth Halvaksz

Laura, i don't know which exact patch, but if they are on the latest patch of 25.1 then it will be available.

I have also learned that we don't allow anonymizing if there is an event attached or an order attached.

I understand this was done because they wanted to avoid creating bad data. We can scope what happens for cases when there is an invoice or event, but this is not currently on the roadmap.

  • Laura de Jong

Thanks, Seth. @...  can this be added to the Release Notes of 25.1 on the Support Center?

  • Linda Moyer

Seth Halvaksz  To add the anonymizing to the release notes, I'll need a link to the Jira or something. I don't have enough information from this thread.

  • Seth Halvaksz

We'll need to set up a meeting with Nikhil in engineering for him to demo.  I'll get that scheduled but it may not be for a couple weeks due to other priorities.

  • Linda Moyer

Sounds good! We need reactions in Documentus so I can just thumbs up comments… 😆

@..., Seth Halvaksz , Many thanks - looking forward to the anonymizing Accounts/ Contacts & GDPR regulations.
